BoxHero's Low Stock Alerts feature notifies you when an item's on-hand quantity falls to or below the safety stock level you set, giving you time to reorder before you run out.

How to Get Low Stock Alerts

Set Safety Stock Levels

In BoxHero, "Safety Stock" is the minimum quantity of an item you want to keep on hand to avoid stockouts. Set it to start monitoring your inventory levels.

• Go to Other Features > Low Stock Alerts.

• Select a location from the dropdown:

  • All Locations: sums inventory across all sites

  • Specific Location: tracks a single site's levels (e.g. Warehouse, Main Office)

• Click Safety Stock Settings.

• Enter a safety stock level for each item in the Safety Stock column, then click Save.

• To set safety stock for many items at once, use Import from Excel from the dropdown next to Safety Stock Settings.

• To download your current levels, click ... (more)> Export to Excel.

Set an item's safety stock to 0 to be notified only when it goes out of stock.

Manage Alert Settings

Decide who should receive alerts, and how each person is notified.

• Click Alert Settings.

• Use the search bar to add team members who should be notified.

• For each recipient, set alert times and a delivery method: Push, Email, or both.

• Click Save.

Note: Push notifications are delivered through the mobile app, so recipients need it installed. If someone isn't receiving push alerts, check that notifications are enabled for BoxHero in their phone's settings.

Monitor Low Stock Items

Back on the Low Stock Alerts screen, items that need attention are grouped by status so you can see what's urgent at a glance.

• Low Stock — on hand is at or below the safety stock level.

• Running Low — on hand is close to the safety stock level.

• Overstock — on hand is well above the safety stock level.

Each item shows the following:

• Safety Stock — the minimum quantity you want to keep on hand.

• On Hand — the quantity you currently have in stock.

• Shortage or Buffer — how far below or above your safety stock level you are.

Select the ⓘ icon next to a group name to see how that status is calculated.

On Mobile

Low Stock Alerts works the same way in the mobile app, with a few differences.

Set Safety Stock

1. Tap + Set Safety Stock.

2. Tap an item and enter its level on the number pad.

3. Tap Apply.

You can also tap the scan icon in the search bar to find an item by barcode.

Manage Alert Settings

1. Tap ⚙️ (settings).

2. Tap +Add Recipient to choose who's notified.

3. Open a recipient to set their Alert Times and Delivery Methods.
